Terms of Use

1. Who these terms are for

Accounts are issued to coaches and athletics directors by an administrator. There is no public sign-up, and accounts are never issued to students or to anyone under 18. By accepting, you confirm that you hold the role recorded on your account at the school whose team it is attached to.

2. What this system holds

About student athletes:

• name
• graduation year, from which grade level is calculated
• team, division and position in the line-up
• match results and scores
• code violations recorded under VPA rules, including any resulting suspension

About account holders: name, email address, role and team.

It does not hold dates of birth, home addresses, telephone numbers, student identification numbers, health or disability information, disciplinary records other than on-court code violations, or any payment information. Do not enter any of those.

3. FERPA and your school's role

Records that identify a student and are maintained by a school are education records under the Family Educational Rights and Privacy Act (20 U.S.C. § 1232g; 34 CFR Part 99).

This system is operated on behalf of participating schools. A school may treat the operator as a school official with a legitimate educational interest under 34 CFR § 99.31(a)(1)(i)(B) only where the school has determined that this performs a function it would otherwise use its own employees for, retains direct control over the use and maintenance of the records, and has said so in its annual FERPA notification. If your school has not made that determination, do not enter information that identifies a student.

The operator will use student information only to provide this service. It will not sell it, will not use it for advertising, will not use it to build a profile for any purpose other than the service, and will not disclose it to anyone else except at the direction of the school or where the law requires.

4. Reporting scores to news outlets

Names of team members, grade level and participation in a recognised sport are commonly designated directory information, which a school may disclose without consent if it has given public notice of the categories and allowed a reasonable time to opt out (34 CFR § 99.37). Giving that notice, and honouring an opt-out, is the school's responsibility. This system does not track opt-outs.

This system does not send anything to a news outlet. The reporting screen composes a message and opens it in your own mail application. You send it, from your own address, acting as an employee or agent of your school. The decision to disclose a student's name and result to a reporter is the school's to make and yours to carry out, and this system is not the party making the disclosure.

Before you send: if a student has opted out of directory information disclosure, remove them from the message.

5. Your obligations

• Keep your password to yourself and do not share an account.
• Sign out on any shared or borrowed device.
• Enter only what the system asks for. Do not put dates of birth, contact details, medical information or other disciplinary matters into free-text fields such as a penalty reason or a score-correction note.
• Keep what you enter accurate, and correct it promptly when it is wrong.
• Report a lost or stolen device, a shared or exposed password, or any suspected unauthorised access to your school administration without delay. They will pass it to the operator.

6. Charting links

The sheet of QR codes you print lets whoever scans it record scores for one dual match until the end of that day. It also shows them the names of the players on those courts.

Treat a printed sheet the way you would a paper line-up card: hand it to the people keeping score, do not post it publicly, and do not photograph it into a group chat. Generating a new link stops anyone new joining with the old sheet, but it does not end sessions already under way.

Give charting sheets to adults. Scanning one does not create an account, so there is nobody for this system to identify or to hold to these terms. A student who scans a sheet becomes a user of the service, which is something the school, not this system, would then have to account for.

7. What is public

The scoreboard, the standings and the team pages require no login. They show player names, teams and results. This is the same information a printed programme or a newspaper box score carries, but it is on the open internet and search engines may index it.

Pages that name individual players ask search engines not to list them, so a result does not become a permanently searchable record under a student's name. They remain readable by anyone with the link.

If your school has a student whose directory information must not be published, tell your administrator before that student is entered into a line-up. What players and families can read about all of this is in the privacy notice.

8. Security and breach notification

Passwords are stored hashed and are never held in readable form. Access is limited to the school's own team except for administrators.

If the operator becomes aware of unauthorised acquisition of personally identifiable information, it will notify affected schools without unreasonable delay so that each school can meet its own obligations, including those under Vermont's security breach notification law and FERPA. Notifying students and families remains the school's responsibility.

9. What this system does not do

These are commitments about the service itself, not only about how you use it:

• There is no advertising of any kind, and no advertising identifiers.
• There are no analytics, no tracking pixels and no third-party scripts. Nothing on any page calls out to another company. Fonts and icons are served from this site rather than a content delivery network, so no third party sees who is reading a page.
• Student information is not sold, licensed, rented, or shared for anyone else's marketing, and is not made available to a data broker.
• No profile is built about any student, and nothing here is used to target, rank, recommend or predict anything about a person. Match results are recorded because they are the point of the service, not to infer anything beyond them.
• Only what the service needs is collected. There is no date of birth, no contact detail, no location, no device identifier and no behavioural data about any student.

10. Keeping and removing information

Rosters, line-ups and results are kept from season to season so that history and standings remain meaningful. A school may ask for a student's information to be corrected or removed; make that request through your administrator.

11. Changes to these terms

These terms carry a version. If they change in substance you will be asked to read and accept the new version before continuing to use the site. Your acceptance is recorded against the version you accepted.

12. Who operates this and how to reach them

This service is operated by JHL, LLC on behalf of participating schools.

Questions about these terms, requests to correct or remove a student's information, and reports of a suspected data breach should go to your school administration, which is the right first stop in every case and can reach the operator.
